Purpose:
Provides receptionist and cashier services to the Sports and Recreation Unit (SRU).
Roles & Responsibilities:
To provide receptionist services to SRU.
- Answers all telephone lines for the Unit, screens and directs callers to the appropriate department and records telephone messages.
- Opens office each morning, turns on office equipment, empty shredder, adds paper to fax and photocopier machines.
- Keeps track of employees’ schedules while properly screening and directing visitors.
- Ensures the reception area is properly maintained and that all SRU operating equipment is in regular working order and makes service calls.
- Maintains information boards for clients and employees with upcoming events, exchange information and updates.
To provide cashier related duties to the SRU.
- Collects cheque and interact payments on behalf of Minor Sports and Recreation Programs and Kahnawá:ke Sports Complex ice and floor time.
- Issues receipts and ensures that the process is documented as per Mohawk Council of Kahnawake (MCK) Accounting Dept payment procedure.
- Submits deposits and interact reports to SRU Snack Bar Supervisor and Accounting Clerk for submission to MCK Cashier Clerk.
- Prepares bi-weekly batch closings and forwards income reports to SRU Snack Bar Supervisor/Accounting Clerk for submission to MCK Cashier Clerk.
- Processes invoices to accounting and maintains invoice filing system.
To provide administrative support to the SRU.
- Prepares letters, reports, statements, and charts for the staff of the Sports and Recreation Unit.
- Coordinates meetings and special events on behalf of Sports and Recreation Unit Staff.
- Logs and files correspondence sent and received on behalf of the Sports and Recreation Unit.
- Sets up and utilizes the mail logging system for outgoing mail.
- Handles photocopy and facsimile requirements for office personnel.
- Ensures weekly timesheets are submitted.
- Updates the Sports and Recreation Unit Website.
- To be cross-trained and fully functional in all SRU clerical and administrative positions and act as a replacement when necessary.
- Updates Monday.com, room assignment schedules, and calendars.
- Tracks all events in the Sports Complex and surrounding fields.
- Performs other job-related duties as directed by immediate supervisor.
Education & Experience:
- DEP in Secretarial Sciences, plus one (1) year relevant experience OR
- High School Diploma, plus three (3) years relevant experience.
Knowledge, Skills & Abilities:
- Knowledge of general office operations and procedures.
- Sound administrative and organizational skills.
- The ability to multitask and maintain attention to detail.
- Excellent customer service skills.
- Excellent oral and written communication skills and knowledge of recording/transcribing minutes.
- Ability to show tact, discretion and courtesy when dealing with callers, visitors and requests from different levels.
- Advanced knowledge of Word, Excel, Microsoft Office applications, Rec Trac software system and the ability to learn various computer programs.
- Maintains confidentiality.
- Adhere to the MCK Administration Manual-Personnel Policy and Kanien’kéha Language initiatives.
- Ability to communicate in the Kanien’kéha and French languages is an asset.
- The willingness to learn the Kanien’kéha language.
Working Environment:
- Five-day work week is performed in an office environment.
- Moderate stress due to workload.
- Occasional overtime.
