Purpose:
Provides comprehensive administrative support services to the Organizational Development Unit (ODU), ensuring its effective and efficient operation. Streamlining processes, managing resources, and facilitating communication to enhance service delivery across the Mohawk Council of Kahnawake (MCK). Also acts as the receptionist for the ODU Office building.
Roles & Responsibilities:
Provides administrative support to the Organizational Development Unit
- Provides administrative support to the Director, General Manager, and Unit.
- Maintains accurate and up to date files.
- Maintains a base level understanding of the current status of ODU work and facilitates information sharing within ODU and with other Units.
- Responds to requests from managers and staff.
- Prepares memorandums, letters, and other correspondences.
- Conducts subject research and prepares background files on various subject matters.
- Executes office purchases.
- Maintains basic office organization.
- Maintains the office equipment and replenishes consumables.
- Coordinates the team calendar.
- Tracks and scheduling of unit staff annual performance appraisals and progress reviews.
- Coordinates of unit team building and social activities.
Provides administrative support for all aspects of meetings, conferences, workshops, strategic sessions
- Coordinates all meetings and working sessions.
- Coordinates logistics, location, room set-up and take-down, transports materials to site.
- Records and transcribes meeting notes/minutes, record follow-up, distributes in a timely manner.
- Prepares meeting packages and/or reference materials.
- Participates in team meetings as required.
Provides receptionist support for the ODU Office building
- Ensures the building and meeting room are opened and prepared for use from 9:00 a.m. to 12:00 p.m. and 1:00 p.m. to 4:00 p.m.
- Collaborates with the MCK Main Office Receptionist to coordinate room bookings and identify potential scheduling conflicts.
- Notifies the ODU Unit when the meeting room has been reserved.
- Provides assistance to meeting room users by responding to inquiries related to the ODU Office.
Education & Experience:
- DEP in Administrative Assistant, plus three (3) years relevant experience.
OR
- High School Diploma, plus five (5) years relevant experience.
Knowledge, Skills, Abilities:
- Knowledge of general office operations and procedures.
- Excellent oral and written communication skills.
- Strong time management and organizational skills.
- Knowledge of all Microsoft Office applications such as Outlook, Teams, Word, Excel, OneDrive and SharePoint.

- Ability to communicate in the Kanien’kéha and French languages is an asset.
- The willingness to learn the Kanien’kéha language.
Working Environment:
- Five-day work week is performed in an office environment.
- Moderate stress due to workload.
- Occasional overtime.
