Under the direct supervision of the Director of the Office of the Council of Chiefs (OCC), and with guidance from the Ratitsénhaienhs and Chief Political Advisor, the KCR Coordinator plays a key role in advancing Kahnawà:ke’s Nation-to-Nation relationship with Canada.

The KCR Coordinator will work closely with the KCR Portfolio Chiefs, sectoral table Portfolio Chiefs, and the OCC Advisory Team to coordinate and oversee the activities required to support Kahnawà:ke’s ongoing participation in Kahnawà:ke/Canada Relationship discussions. Responsibilities include organizing and attending relevant meetings, preparing and distributing materials, documenting decisions and follow-up actions, and ensuring strong internal coordination. Assisting with the preparation and submission of federal funding applications and reports, while serving as the primary point of contact for both internal teams and external partners to ensure alignment and effective communication across all areas of the file.

Roles & Responsibilities:

Meeting Coordination and Support

  • Coordinates all meetings related to the KCR file, including:
    • Steering Committee
    • Main Table
    • Sectoral Tables
    • Internal working group meetings (Prep/Debrief/Strategic).
  • Manages all logistical aspects of meetings, including:
    • Scheduling and sending calendar invitations
    • Circulating relevant pre-meeting documentation
    • Arranging venues, refreshments, and travel accommodations as needed.
  • Ensures meeting rooms are tidy and organized post-meeting, including collecting unused documents and managing leftover food or drink.
  • Ensures the date and objectives of the next meeting are confirmed and documented before concluding each session.

Documentation and Records Management

  • Attends and documents all KCR-related meetings.
  • Prepares minutes and/or summary notes.
  • Collaborates with the KCR Strategist to finalize meeting documentation.
  • Distributes final meeting notes or minutes to the appropriate team members and maintains a centralized task tracker for all decisions and follow-up actions.
  • Maintains a comprehensive tracking system for all documentation circulated or produced for the KCR team.
  • Acts as a point of contact for team members regarding past documentation or meeting schedules.

Information Management and Systems

  • Works with the KCR Strategist to develop and maintain document storage and access systems (SharePoint and OneDrive).
  • Ensures documents are appropriately filed and accessible according to pre-defined access levels.
  • Develops and maintains an organized catalogue of KCR documentation for quick retrieval and effective knowledge sharing.

Funding, Reporting, and Budget Tracking

  • Assists in the preparation and submission of federal funding applications and required reports.
  • Maintains up-to-date records of project activities and related expenditures.
  • Supports the KCR Strategist in preparing:
    • Monthly updates and progress reports
    • Annual narrative and financial reports
    • Budget-related documentation for funding proposals

Cross-File Coordination

  • Assumes a supporting role in related KCR initiatives, including the External Governance Relations (EGR) and Seigneury of Sault St. Louis (SSSL) files.
  • Provides the same level of coordination, documentation, and reporting support as outlined for the KCR file, or additionally assigned files.

Education & Experience:

  • DEC in Office Administration, plus one (1) year relevant experience; OR
  • DEP in Secretarial Sciences, plus three (3) years relevant experience; OR
  • High School Diploma, plus five (5) years relevant experience. 

Knowledge, Skills, & Abilities:

  • Ability to interpret and simplify complex data and information for diverse audiences.
  • Strong written and verbal communication skills.
  • Strong minute and note-taking skills.
  • Demonstrated interpersonal skills, professionalism, teamwork, and judgment.
  • Knowledge of the agreements between Kahnawà:ke and Canada, and solid knowledge of the Kahnawà:ke/Canada Relations is preferred.
  • Knowledge of the agreements between Kahnawà:ke and surrounding Municipalities, and general knowledge of the Kahnawà:ke/Municipal Relations is preferred.
  • Knowledge of the agreements between Kahnawà:ke and other First Nations, and general knowledge of the External Government Relations is preferred.
  • Microsoft Office 365 Suite.
  • Ability to maintain confidentiality.
  • Adhere to the MCK Personnel Policies and Kanien’kéha Language initiatives.
  • Ability to communicate in Kanien’kéha and the French language is an asset.
  • The willingness to learn Kanien’kéha.

Working Environment:

  • Standard Monday to Friday 8:30 a.m. to 4:00 p.m. schedule, with work primarily performed in an office environment.
  • May be required to work evenings or weekends on occasion, depending on the needs of specific portfolios or project deadlines.
  • Periods of moderate stress may occur due to workload, competing priorities, and tight timelines.
  • Occasional overtime may be necessary to support operational or strategic objectives.
  • Occasional travel may be required.
